||Project Management Coordinator I
|Nature of Work:
||The IT Project Management Coordinator I assists with overseeing the slate of IT projects for Albany State University. This role is responsible for overseeing numerous projects and coordinating them from inception through support phase. The IT Project Management Coordinator I will assist with administrative duties and all project activities. This includes developing project schedules, communication plans, project plans and project charters. This role is also responsible for leading meeting discussions, documenting meeting minutes, action items and decisions made.
|Training and Experience:
||*Associates degree and 2+ years' experience or 4+ years' comparable/related experience required; management/supervisory skills are preferred.
*Thorough understanding of both theoretical and practical aspects of the project management discipline.
*Thorough understanding of project management phases, techniques and tools.
*Strong and tested project management skills, including sponsor and risk management.
*Understanding of IT missions and operations.
*Knowledge of organization's methodology and tools.
*Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
Knowledge of file management, transcriptions and other administrative procedures.
*Competency in Microsoft applications including Word, PowerPoint, Excel and Outlook.
|Illustrative Examples of Work:
||*The IT Project Management Coordinator I works closely with the Director of Project Management and executive IT leadership to develop and execute project plans, project communications and resource schedules.
*Work with department directors to communicate project needs in order to provide visibility to the many tasks needed to execute the project. To clearly and frequently communicate the status of projects and tasks, and to work closely with the Project Sponsor to make sure the project is delivered as close to the forecasted time & scope as possible.
*Provide project support through means of meeting management to include sending meeting invitations and coordinating project events. Organizing, attending, leading and participating in stakeholder meetings. Chair and facilitate meetings where appropriate. Preparing necessary presentation materials for meetings. Documenting and following up on important actions and decisions from meetings.
*Provide project management support to include continuous training, tools, and project templates to support project management methodology and management of select projects.
*Portfolio Management: Project and resource tracking and reporting
*Demand Management: project intake and governance review
*Requirements gathering: as-needed gathering of preliminary functional or technical requirements
*The IT Project Management Coordinator I facilitates intake of project requests, reviews the request, meets with appropriate IT staff to determine technical feasibility and approach, works with customer and IT for estimate of efforts, and presents the request to IT leadership for review and prioritization.
*Must form strong partnerships with senior department business managers to ensure that relationships and communications with the IT group remain strong.
*The IT PMO will also work with CISO, procurement, legal, etc. as appropriate.
*Track Project Progress and Undertaking project tasks as required.
*Process improvement, documentation updates and new system implementation.
*Provide weekly status reports to the Director of Project Management on the current status of all projects being overseen.
*Work with IT leadership and functional office leadership to recognize any room for improvement with processes or implemented software.
*Perform other job-related duties as assigned.
